1. What We Collect

When you create an Atom AI account, we collect the following information you provide directly:

• Name and email address (for account creation and authentication)
• Company name and business information (for email personalization)
• Prospect data you add to campaigns — including names, job titles, companies, and email addresses
• Email content drafted and sent via the Atom AI platform on your behalf
• API usage data and interaction logs associated with your account

We do not collect any data beyond what is necessary to operate the outbound sales automation service.

2. How We Use It

Your data is used exclusively to operate the Atom AI service, specifically to:

• Research and profile prospects as part of outreach campaigns
• Generate personalized cold email drafts tailored to each prospect
• Send outbound emails on your behalf through your connected email account
• Track and classify replies from prospects (interested, not interested, auto-reply, etc.)
• Facilitate meeting booking when a prospect responds positively
• Send you transactional notifications related to your account and campaigns

We do not use your data for any purpose beyond operating the service, training general AI models, or sharing with third parties for advertising.

3. Gmail Data Access

If you connect your Gmail account to Atom AI, we access it solely to send outbound emails on your behalf — nothing more.

Our use of Gmail data is limited to the gmail.send scope. You can revoke Atom AI's access to your Google account at any time from your Google account settings.

4. Data Sharing

We do not sell your personal data. We do not share your data with any third party for their own marketing purposes.

We may share your data only with service providers that are essential to operating the product:

• Cloud hosting — infrastructure providers that host our servers and databases
• Email delivery — delivery services used to send transactional and outbound emails
• Analytics — anonymized, aggregated usage data for product improvement
• Payment processing — Stripe for subscription billing (we never store your card details)

All third-party processors are contractually bound to use your data only for the services they provide to us, and not for their own purposes.

5. Data Retention

Your account data is retained while your Atom AI account is active. If you close your account, we delete your personal data within 30 days of account closure, upon written request to hello@atom-ai.io.

Certain data may be retained for longer periods if required by law, but we do not retain personal data longer than necessary for the purposes described in this policy.

6. Your Rights

You have full control over your data. At any time, you can:

• Access — request a copy of all data we hold about you
• Correct — request updates to inaccurate or incomplete personal information
• Delete — request permanent deletion of your account and all associated data
• Export — download your prospect data and campaign history in a portable format

7. Cookies

Atom AI uses essential cookies to keep you logged in and maintain session security. We do not use third-party advertising cookies. Analytics data collected is anonymized and aggregated.
